The Role
Location: Fire & Flow Coffee Roastery, Cirencester, Cotswolds
Hours: Part-time, flexible, approximately 10-25 hours per week
Contract Type: 1 year fixed-term maternity cover
Pay: £36,000+ full-time equivalent, depending on experience
Start Date: ASAP
We are looking for a part-time Senior Bookkeeper to join Fire & Flow on a 1 year fixed-term maternity cover basis.
This is a flexible role, ideally suited to someone experienced and confident managing day-to-day bookkeeping tasks within a growing small business. You will support the smooth running of our finance administration, helping to keep records accurate, payments organised, payroll information up to date, and key financial processes running smoothly.
The role will involve working across multiple areas of the business, so strong organisation and attention to detail are essential.

Fire & Flow is a specialty coffee roastery based in the Cotswolds, supplying high-quality coffee to a growing network of wholesale partners, alongside operating a large, high-volume brunch cafe on site.
We’re a growing business with big plans, and we are looking for an organised, accurate, and reliable Senior Bookkeeper to support our finance function during a period of maternity cover.
Key Responsibilities
Bookkeeping & Financial Administration
- Maintain accurate bookkeeping records across the business
- Manage customer and supplier queries
- Process and post invoices through Dext and Xero
- Track down missing invoices and supporting documentation where required
- Reconcile bank transactions in Xero
- Maintain organised digital finance records and documentation
- Support month-end finance administration
Accounts Payable & Supplier Payments
- Process supplier invoices and ensure they are recorded correctly
- Prepare supplier payment runs and ensure payments are made on time
- Liaise with suppliers regarding queries, missing invoices, and statements
- Ensure supplier accounts are accurate and kept up to date
Accounts Receivable & Customer Accounts
- Support with sales invoices, customer payments, and credit control where required
- Send customer statements and follow up with customers where needed
- Help ensure customer records and balances are accurate and up to date
VAT & Compliance Support
- Prepare and submit quarterly VAT group returns across our group of companies
- Liaise with external accountants on queries where required
- Help ensure finance records are maintained clearly for reporting, VAT, and compliance purposes
Payroll & HR Finance Admin
- Prepare & submit monthly payroll including distributing tips
- Review hours worked and flag any queries around breaks, comments, or timesheet issues

Pull sickness & holiday reports and support accurate pay calculations

Review pension submissions

Prepare HMRC payment information

Carry out gross-to-net checks and reconciliation controls
- Prepare payroll-related journals, including tips journals
Management Accounts & Reporting Support

Support management accounts review across group companies

Check figures for reasonableness and flag anything that looks unusual
- Assist with reporting and finance admin as required
- Help maintain clear, accurate, and consistent finance processes
Systems & Process Support
- Support the smooth running of finance systems including Xero, Dext, Shopify, Square, and other related integrations
- Help identify opportunities to improve processes and efficiencies
- Support stock processes for the business
What We’re Looking For
Essential

Strong bookkeeping experience, ideally within a small business

Experience using Xero

Good Excel skills

Highly organised and reliable

Able to work independently and manage workload effectively

Good communication skills and confidence liaising with suppliers and customers
- Comfortable working in a growing small business environment
Desirable

AAT qualification, Level 3 or above

Experience supporting payroll administration
- Experience supporting VAT returns
